Daaxit Releases Monthly KPI Scorecard Guide to Enhance Contractor Financial Accountability

Daaxit, a provider of fractional CFO services for contractors, has published a new educational resource designed to help construction firms transform key performance indicators (KPIs) into a structured monthly management scorecard. The guide aims to bridge the gap between collecting financial and project data and using it effectively to drive decisions and accountability.

The resource targets construction businesses that have access to data but lack a consistent review process. It emphasizes the importance of assigning ownership for each KPI and reviewing results on a regular schedule. The framework covers financial health indicators such as revenue, gross profit, net profit, EBITDA, cash flow, accounts receivable, debt, and working capital. It also addresses job-level metrics including estimated margin, current margin, labor productivity, work in progress, underbilling, overbilling, change orders, and cost to complete.

Aaron Mills, Founder and CEO of Daaxit, stressed that the scorecard should simplify reporting rather than add layers. “I don’t believe in creating extra layers of reporting. That’s why a scorecard should make responsibility clearer, reducing the need for more reporting,” said Mills. “The purpose is to show what changed, who owns the result, and what action needs to follow during the next review cycle.”

Cash flow is treated as a separate category from profit because profitable contractors can still face liquidity issues. The guide highlights cash forecasts, receivables aging, retainage, payroll requirements, vendor obligations, debt payments, and billing position as key measures. Backlog is also examined independently, with attention to expected margin, labor availability, project timing, customer payment terms, material exposure, and capacity to perform the work.

Mills noted that the structure helps leadership teams distinguish between activity and financial strength. A growing backlog may support future revenue but can also increase working-capital demands and operational risk if assumptions are not reviewed. The full framework is available at Daaxit.

The guide recommends assigning an owner to each major KPI and conducting monthly reviews. Financial indicators may be owned by the CFO or finance lead, while operational metrics like labor productivity, change-order status, billing, and collections may involve operations, project management, or accounting departments. Tracking targets, current results, prior-period results, and follow-up actions is advised to identify trends and document responsibility.

Mills describes the scorecard as a management routine rather than a one-time dashboard project. Its value depends on consistent data, regular review, clear explanations of variances, and follow-through on assigned actions.

The KPI categories are adaptable to different contractor business models. Service contractors may focus on technician productivity, dispatch performance, service agreements, and fleet use, while project-based contractors may emphasize work in progress, cost to complete, underbilling, retainage, and backlog margin. The guide also suggests breaking down performance by division, location, project type, estimator, project manager, or crew when needed to pinpoint where results are produced.

Daaxit provides fractional CFO services to contractor businesses, offering onboarding and ongoing monthly support to improve financial clarity, cash flow visibility, and job-level profitability tracking. The firm is headquartered at 1511 Wilmot Ave., Twin Lakes, WI 53181, and serves clients across the United States.
